Walk and Roll to School Day, October 5, 2011
Hi all! The New Mexico Department of Transportation Safe Routes to School (SRTS) program is once again encouraging you and your school to participate in the annual Walk and Roll to School Day (called Walk to School Day nationally), which will take place this year on Wednesday, October 5. As many of you know, Walk and Roll to School Day is an annual event celebrated around the world to promote safer, more walkable and healthier communities. Students, parents, staff and community members are encouraged to walk, bike and/or “roll” (skate, skateboard, use a wheelchair or scooter) to school on October 5 to raise awareness of pedestrians and bicyclists and promote physical activity. Fewer parents driving students to school also means less traffic congestion and cleaner air around our schools—something we can all appreciate! This is the sixth year we’ve celebrated the event state-wide in New Mexico and each year we’ve seen an increase in the number of participating schools. Last year 87 New Mexico schools registered for the event and an estimated 10,000 students participated. Nationally, more that 3,550 schools in all 50 states participated in the event. You can find out who participated in past years by visiting the International Walk to School in the USA website, www.walktoschool.org and clicking on “Who’s Walking.” As in previous years, the NM SRTS program will provide encouragement items (reflective zipper pull tags, SRTS stickers and pencils) for you to give to children who participate in your event. To add your school to the list for encouragement items, please register your event on the International Walk to School in the USA website at www.walktoschool.org. We do have limited quantities so items will be distributed on a first come, first served basis which means the sooner you register, the better your chance! The items will be mailed out at the end of September. (possibly winning $200 for your PTA)...here are some helpful hints for increasing membership... 1. Set up your membership table at every PTA, school, and community event. 2. Work with local businesses and other civic groups to promote PTA, partner on projects, and grow membership. 3. Make time to welcome or thank PTA event attendees and let them know the event was made possible by PTA members. Ask those who enjoyed the event to join PTA to show their support for your unit. 4. Regularly include articles about membership and a clip-out membership form in your newsletter or in community bulletin-boards or websites. 5. Publish your current membership count in your newsletter and compare it to your goal often. 6. Post basic information on your website: PTA contact information, the PTA mission and objectives, PTA background, names of board members, a current list of events and activities, etc. Keep your website current and relevant. Outdated material is a sign that no one is monitoring or maintaining your website. 7. Post PTA member benefits (PTA.org/benefits) on your website and promote the benefits of membership. 8. Track members who do not rejoin. What is their reason? What can your PTA do to get them back? 9. Show members how PTA advocacy at the state and national levels connects to what is happening in your classrooms and community. Use news from PTA Takes Action (PTA.org/advocacy) to show how membership drives real results. 10. Know that how you treat members will make PTA thrive or fail. 11. Serve your members. Do not let them leave until their requests for assistance have been addressed; then follow up to make sure members were satisfied with what they received. Use the year-round marketing and promotions materials (PTA.org/marketing) and the January Membership Campaign tools (PTA.org/january) available online.

Duties of the Treasurer 1. Keep up-to-date on nonprofit financial issues by reading relevant materials and pursuing appropriate training. 2. Chair the finance committee (if required in the bylaws). 3. Assist in developing the budget. 4. Manage the funds of the unit. Keep an accurate and detailed account, in the treasurer’s permanent book, of all monies received and paid out. Submit a report at ALL regular meetings of the association. The report should include the total balance on hand at the beginning of the month covered by the report, the separate amounts received and credited to the general fund, the state and national portions of dues, the special funds (if the association carries any special funds such as a scholarship or endowment), other receipts, itemized disbursements, the balance on hand in each fund, and the total balance on hand at the end of the month. Be prepared to answer all questions promptly, and have the records available at the meeting.
6. Receive all monies for all accounts—local, state, and national per capita dues, gifts, etc. Receipts should always be issued for amounts of cash received. 7. Deposit all monies in a bank approved by the executive committee/ board of the association in the name of "_______ Parent Teacher Association, ______, Treasurer.’’ Night deposits and 24-hour banking can and should be used as needed. 8.Monies should never be kept at the treasurer’s home. Association funds should not be deposited in the personal account of the treasurer, nor should they be deposited in the school activity account. 9. Pay by check all bills as authorized. Two signatures should be required on all checks. The procedure for authorizing disbursement and the established authorizing parties—the president, board executive committee—should be spelled out in the association bylaws. All bills must be paid by check—never by cash. As a general rule, purchases should not be made without written authorization. The bylaws should require that checks be signed by two people, usually the president and the treasurer. Individuals authorized to sign checks should not be related to each other by marriage or any other relationship. Never sign a blank check or a check made out to "cash."
10. Keep the record of the national and state portions of membership dues and all other national and state monies separate from the record of the general funds of the local PTA.
11. Forward to the state PTA—through the channels and at the times designated in the state bylaws—the state and national portions of membership dues, together with all other monies that belong to the state and National PTA. Each remittance should be accompanied by a statement showing the name and address of the PTA and the number of PTA members. The National PTA office requires a complete list of names and addresses (including e-mail addresses) of PTA members.
12.Cooperate with the membership chair and the secretary in keeping an accurate list of the PTA membership.
13. Preserve all check requests, receipts, bank statements, and canceled checks, and submit all of these to the auditor in preparation for the annual audit. Arrange for the annual audit.
14. Prepare for the treasurer’s successor all books, papers, and correspondence pertaining to the office of treasurer, including the audited books, approved and paid bills, canceled checks, plans, and procedures. Transfer all materials to the incoming treasurer in a timely manner.
15. Keep canceled checks, paid bills, etc., for seven years. This procedure provides the PTA with sufficient background documents and material should any questions arise. Note: All PTA monies and other assets, including checking accounts, savings accounts, and certificates of deposit, are the property of the PTA. Treasurers who have custody of funds shall maintain complete and accurate records of their receipts and disbursements.
